Organization Settings

Configure your organization's settings, domains, and default behaviors.

The Settings page allows you to manage your organization's configuration and preferences.

General Settings

Organization Name

The name displayed throughout the admin portal and in emails sent to travelers.

  1. Navigate to Settings
  2. Update the Organisation Name field
  3. Click Save Changes

Billing Email

The email address for billing notifications and invoices:

  1. Enter the billing email address
  2. Click Save Changes

Use a distribution list or shared mailbox so multiple people receive billing communications.

Preferred Currency

Set the default currency for your account:

  1. Navigate to Settings
  2. Select your Preferred Currency from the dropdown
  3. Options available:
    • GBP - British Pounds
    • USD - US Dollars
    • EUR - Euros
  4. Click Save Changes

Your preferred currency is used as the default for purchases and displays. You can still purchase credits in other currencies when needed.

Travel Defaults

Configure default behavior for all travel requests.

Require Cost Code

When enabled, travelers must select a cost code for every booking.

SettingBehavior
EnabledCost code selection is mandatory
DisabledCost code is optional

Best for: Organizations that need strict expense allocation and tracking.

Require Approval by Default

When enabled, all trips require approval unless a policy rule explicitly allows auto-approval.

SettingBehavior
EnabledAll trips need approval by default
DisabledOnly trips violating policy need approval

Best for: Organizations wanting tight control over all travel spending.

Domain Verification

Verified domains ensure only people with your company email can join your organization.

Why Verify Domains?

  • Security: Prevents unauthorized access
  • Auto-enrollment: Users with verified email domains can be invited
  • Trust: Confirms you own the email domain

Adding a Domain

  1. Go to SettingsVerified Domains
  2. Enter your domain (e.g., company.com)
  3. Click Add

A verification code is generated:

  • Valid for 24 hours
  • Must be added as a TXT record in your DNS

DNS Verification

To verify your domain, add a TXT record:

  1. Log into your DNS provider (e.g., Cloudflare, Route53, GoDaddy)
  2. Add a TXT record:
    • Name/Host: @ or your domain
    • Value: The verification code shown in Helix
    • TTL: 300 (or your provider's default)
  3. Wait for DNS propagation (up to 48 hours, usually faster)
  4. The status will update to Verified

Domain Statuses

StatusMeaning
PendingAwaiting DNS verification
VerifiedDomain confirmed; invitations can use this domain

Removing a Domain

  1. Find the domain in the list
  2. Click the trash icon
  3. Confirm removal

Removing a verified domain doesn't affect existing users, but prevents new invitations to that domain.

Multiple Domains

Organizations with multiple email domains can verify all of them:

  • Primary domain: Your main company domain
  • Subsidiary domains: Domains for acquired companies
  • Regional domains: Country-specific domains

Each domain needs separate DNS verification.

Settings Best Practices

Initial Setup

  1. ✅ Verify your primary email domain first
  2. ✅ Set your organization name
  3. ✅ Configure billing email
  4. ✅ Decide on cost code requirement
  5. ✅ Set approval defaults based on your trust model

Ongoing Maintenance

  • Monthly: Review settings are still appropriate
  • Quarterly: Check domain verification status
  • When policies change: Update travel defaults accordingly

Security Considerations

  • Only verify domains you control
  • Remove domains when no longer used
  • Keep billing email up to date
  • Review settings after organizational changes

Saving Changes

Changes to settings are not applied until you click Save Changes:

  1. Make your updates
  2. Review all changes
  3. Click Save Changes
  4. Confirm the success message

Settings changes take effect immediately for new bookings and invitations.
